How to Export Your Pipeline Data

Export projects and companies from your pipeline to create calling lists, email lists, and more

Export Options

What You Can Export

  • Entire Pipeline: All stages at once

  • Individual Stages: Export specific columns/stages only

  • Projects or Companies: Must export separately (can't do both together)

Where to Find Export Options

  • Full Pipeline: Click the Export button (top right)

  • Individual Stage: Click the three-dot menu next to the stage title

Export Process

Step 1: Choose What to Export

  1. Select Export Projects or Export Companies

  2. See how many items will be exported

  3. Enter a name for your export file

  4. Click Next

Step 2: Choose Export Format

Platform Templates (Recommended)

  • Call List: Contact details, phone numbers

  • Email Mail Merge: Email addresses and contact info

  • Contact List: Basic contact information

  • Standard: General project/company data

  • Letter/Mail: Postal addresses for direct mail

Custom Templates

  • Create your own field combinations

  • Save templates for future use

  • Select specific data fields you need

Step 3: Refine Your Export

Filter Options

  • Business Roles: Export only specific company types (architects, contractors, etc.)

  • Contact Data: Exclude companies without contact details

  • Email Addresses: Exclude companies without confirmed emails

  • TPS Register: Exclude contacts on telephone preference service

  • Update Filter: Exclude projects not updated recently

Contact Tracking

  • Exclude Previously Contacted: Skip projects you've already reached out to

  • Contact Methods: Choose specific channels (phoned, emailed, mailed)

  • Time Periods: Set how many days back to check (30, 60, 90 days)

Sorting and Limits

  • Sort By: Latest updates, project value, etc.

  • Record Limit: Set maximum number to export

  • Track Contacts: Mark exported items as contacted for future reference

Step 4: Export

  1. Review your selections

  2. Click Export

  3. Download your CSV file

Calling Lists

  • Use "Call List" template

  • Filter for companies with phone numbers

  • Exclude TPS-registered contacts

  • Track who you've already called

Email Campaigns

  • Use "Email Mail Merge" template

  • Filter for confirmed email addresses

  • Exclude previously contacted companies

  • Create targeted email lists

Direct Mail

  • Use "Letter/Mail" template

  • Get postal addresses

  • Filter by location or project type

  • Track mailing campaigns

Tips

  • Export projects and companies separately

  • Use platform templates for common tasks

  • Save custom templates for repeated exports

  • Always filter out previously contacted companies

  • Name your exports clearly for easy identification
